Sr. Admin Assistant II  [05/20/2010]



Overall Job Summary: This position provides administrative and secretarial support to the Senior Director of Technical Service and other department members as needed. It includes routine and special project assignments, exercising individual judgment and discretion. It requires a high level of self motivation and efficiency to work with minimal supervision.

 Key Accountabilities:
• Provide administrative support for Supervisor and other department members as needed.
• Coordinate and plan meetings (onsite and offsite).
• Coordinate travel arrangements (int’l & domestic).
• Coordinate calendars for key department members as needed.
• Create advanced memos, summaries, letters, reports, budget plans, projects and other department documents.
• Coordinate department visitors as needed.
• Summarize information from spread sheets or other documentation for reports and presentations.
• Manage and organize efficient department filing systems for documents.
• Handle special department projects.
• Assist with department budget process as needed.
• Coordinate and manage training of others in the department as needed (i.e. temps, summer interns, contractors, co-ops).
• Take on other job duties as assigned such as, if applicable, providing Buyer/Planner support as needed.

Minimum Education Requirements: High school diploma or equivalent with two or more years of business college courses or special PC software training.

Minimum Experience Requirements:
• 6 years Administrative/Secretarial experience in a related area.   
• Must type 60 wpm.  Proficient experience in several software packages including word processing, spreadsheet, and graphics.  Must have proven, effective verbal/written communications skills. Considerable analytical capabilities needed to take on multiple, complex projects and/or tasks. Requires ability to interact effectively with both internal staff and management.
• Solid organization skills with ability to prioritize projects and tasks.    

Preferred Qualifications
• Associate Arts Degree in business, or at least two years of business college courses with advanced training in MS Office software.    
• 10 years Administrative/Secretarial experience in a related area and two years internal Alcon administrative experience.
