Duties:•Extensive calendar management for both the Vice President and Associate Vice President including the coordination of complex executive-level meetings •Answer phones for the Department and direct all incoming calls to the appropriate party efficiently •Arrange travel and prepare travel forms for reimbursement •Liaison to Conflict of Interest Committee (a highly sensitive assignment) -- responsible for taking of meeting minutes, preparing meeting materials, responding to requests of committee members, maintaining confidential files •Manage Vice President’s and Associate Vice President’s correspondence and draft and proof read correspondence as assigned •Maintain Departmental communications database, including newsletter mailing list and arrange special group mailings •Serve as liaison between department and other departments, including the Presidents’ Office and the five campuses •Perform other duties as assigned Qualifications:•BA (strongly preferred) or equivalent combination of education and experience •Minimum of five years progressively responsible experience (strongly preferred) •Demonstrated ability to maintain relationships with a wide variety of constituents •Experience providing administrative support within a complex team environment Preferred Qualifications:Skills •Excellent organization skills, calendar management and attention to details •Ability to act independently but also work as a team player •Ability to set priorities and complete projects in a timely and professional manner • Sound judgment, sense of discretion and a proactive approach to problem solving •Excellent computer skills (word processing, spreadsheets, database, web, power-point and presentation materials) •Ability to manage multiple priorities and deal with ambiguity Comments:The Executive Assistant will assist the Vice President and Associate VP in all administrative aspects of work performed by the Department of Economic Development. Responsible for managing work flow, schedules and information for Vice President and AVP. Serves as primary contact for the department with a variety of diverse constituencies including President’s Office staff, campus contacts, the business community and governmental agencies. Prepares and manages correspondence and meeting minutes. Coordinates special events and meetings. Assists in special projects of the department. Works in a complex and demanding environment under the supervision of the Vice President.
