Administrative Assistant - Irving, TX  [01/29/2010]



Requirements
MMI Products, Inc., a wholly-owned group of the CRH/Oldcastle network of building products companies, is currently seeking an Administrative Assistant for its Merchants Metals Service Center located in Irving, TX. Merchants Metals is one of the nation’s largest manufacturers and distributors of fencing products.


Primary Job Function:
Assists the Service Center staff by performing and coordinating office services and activities.

Essential Job Duties:
1. Greet and assist visitors, answer incoming telephone calls, respond to routine inquiries, plan and arrange conference calls, schedule meetings and appointments, and provide information by using the telephone.
2. Perform daily office tasks such as filing, recording, maintaining records, copying, posting, and other similar duties. Use personal computers to create spreadsheets, compose correspondence, create reports and other documents while maintaining strict document control. Assist on projects as needed by preparing reports and gathering requested data.
3. Ensure that electronic and paper files and records are maintained in accordance with legal requirements and Company policies and procedures. Maintain a variety of departmental control and documentation logs and records. Process invoices for payment.
4. Receive and distribute mail for the facility. Coordinate the production and/or distribution of informational material, reports, memoranda, manuals, correspondence, etc. Responsible for monitoring, ordering, and organizing office supplies.
5. Follow organization and department procedures to complete tasks in a timely manner.
6. Process invoices by performing data entry, calculations, printing, and mailing. Perform accounts payable/receivable functions for the branch by accepting payments from customers, carrying out banking procedures, and completing documentation for corporate accounting. Maintain petty cash account.
7. Process purchase orders, receive materials and goods into inventory, audit and reconcile purchase orders.
8. Other Duties as Assigned.


Education
High school diploma or equivalent required.
AA/2 years of college coursework in business preferred.
Experience
Minimum 2 years Administrative Assistant work in a demanding environment with dynamic deadlines.
Skills
Must be able to ensure the integrity and confidentiality of confidential information and records.
Good interpersonal skills.
Excellent written and verbal communication skills.
Ability to work independently.
Copier, facsimile, calculator, ten-key, and telephone skills required.
Introductory accounting skills preferred.
Computer skills/software
Microsoft Office Skills (Word, Excel, PowerPoint, Outlook), network navigation, and Internet navigation skills at an intermediate level required. Advanced level Excel skills preferred.
